Human Resources Generalist

Sunspear Energy is looking for a Human Resources Analyst who can bring strength in HR operations, payroll administration, and regulatory compliance. As an HR Analyst, you will play a crucial role in managing day-to-day human resources functions, ensuring compliance with employment laws and company policies, and supporting the organization’s workforce needs. The ideal candidate should be technically savvy, detail-oriented, and comfortable working with third-party vendors and HR systems while thriving both independently and as part of a team.

Position: Human Resources Analyst

Reports to: CFO/Controller

FLSA Status: Exempt / Salary

Status: Full-Time

Key Responsibilities:

Payroll Administration:

  • Process weekly payroll accurately and on schedule.
  • Maintain payroll records including wages, deductions, garnishments, and tax withholdings.
  • Reconcile payroll reports and resolve discrepancies in a timely manner.

Compliance & Regulatory:

  • Ensure compliance with federal, state, and local employment laws and regulations, including Hawaii-specific requirements.
  • Maintain and update employee handbook, HR policies, and standard operating procedures.
  • Prepare and file required regulatory reports, including OSHA logs, and state-mandated filings.
  • Conduct internal audits of HR processes and records to ensure accuracy and legal compliance.

Third-Party Vendor & Benefits Management:

  • Serve as the primary point of contact for external benefits providers, payroll vendors, and insurance carriers.
  • Coordinate open enrollment, benefits changes, and employee inquiries related to medical, dental, vision, and 401K plans.
  • Manage relationships with staffing agencies, background check providers, and other HR service partners.
  • Negotiate service agreements, monitor vendor performance, and ensure third-party providers deliver quality and value.

HRIS & Technology:

  • Administer and maintain the company’s HRIS and related technology platforms, ensuring data integrity and security.
  • Generate HR reports and analytics to support leadership decision-making, including headcount, turnover, and compensation data.
  • Evaluate and recommend new HR software, platforms, and technology solutions to streamline processes and improve efficiency.
  • Research and vet new software platforms and third-party service providers; lead demos, coordinate trials, and make implementation recommendations to leadership.
  • Proficiently leverage Microsoft Excel and other tools for data analysis, reporting, and dashboards.

Employee Relations & Support:

  • Manage the employee onboarding process, including offer letters, new hire paperwork, orientation scheduling, I-9 verification, system access setup, and first-week coordination with department managers.
  • Coordinate offboarding processes including exit interviews, final pay coordination, and benefits termination.
  • Act as a resource for employee questions regarding policies, benefits, leave, and workplace concerns.
  • Assist with performance review cycles, disciplinary documentation, and employee development initiatives.

Cross-functional Collaboration:

  • Work closely with department managers to identify staffing needs, support recruitment efforts, and coordinate hiring activities.
  • Manage company job postings on company and third party websites.
  • Partner with finance and accounting teams to align payroll, benefits, and compensation data.
  • Collaborate with leadership on workforce planning, organizational development, and company culture initiatives.

Process Optimization & Innovation:

  • Continuously identify areas for optimization within HR workflows, policies, and systems to reduce manual effort and improve the employee experience.
  • Stay current on HR industry trends, best practices, and emerging technologies; propose innovative solutions to leadership.
  • Develop and document standardized HR processes and templates to support scalability as the company grows.

Record Keeping & File Management:

  • Maintain organized and up-to-date employee personnel files, both digital and physical, in compliance with retention policies and legal requirements.
  • Establish and maintain a logical filing and organizational system for HR documents, contracts, certifications, and compliance records.
  • Ensure accurate and timely documentation of all employee lifecycle events, including hires, promotions, transfers, and separations.

Additional Responsibilities:

  • Perform other related duties as assigned to ensure the smooth operation of the human resources function.

Minimum Qualifications:

  • Associates degree in Human Resources, Business Administration, or a related field.
  • 2+ years of experience in human resources, payroll administration, or a related HR function.
  • Working knowledge of federal and state employment laws, including FLSA, FMLA, ADA, and Hawaii labor regulations.
  • Proficient in HRIS platforms, payroll systems, and Microsoft Office Suite.
  • Experience managing third-party vendor relationships (PEOs, benefits brokers, payroll providers, etc.).
  • Detail-oriented with a high level of accuracy and strong organizational skills.
  • Ability to maintain confidentiality and multi-task in a fast-paced environment while being self-motivated to learn new concepts.
