O&M Portfolio Lead

Sunspear is seeking a detail-oriented and customer-focused O&M Portfolio Lead to serve as the primary point of contact and coordinator for our Operations & Maintenance (O&M) clientele across Hawaii. This role is ideal for a proactive professional who excels at managing client relationships, coordinating service delivery under Master Service Agreements (MSAs), and ensuring accurate billing and invoicing. Reporting to the Service Operations Manager, this position focuses on execution, client satisfaction, and operational coordination rather than team leadership or high-level strategy.

Key Job Duties and Responsibilities:

Manage O&M Client Relationships & Act as Primary Point of Contact

  • Serve as the dedicated portfolio lead and main point of contact for commercial and residential clients under Master Service Agreements (MSAs).
  • Coordinate day-to-day O&M activities including preventive maintenance schedules, service requests, repairs, and performance monitoring for solar installations.
  • Conduct regular client check-ins to review service levels, address concerns, track uptime guarantees, and ensure compliance with MSA terms.
  • Facilitate seamless communication between clients, field technicians, and internal teams (sales, installation, accounting) for issue resolution and project handoffs.
  • Identify opportunities for contract renewals, scope adjustments, or additional services (e.g., battery storage add-ons).

Handle Project Coordination & Execution

  • Act as project coordinator for O&M work orders, ensuring timely scheduling, resource allocation, and completion of maintenance and repair activities.
  • Track project progress, response times, resolution rates, and other performance metrics to meet MSA commitments.
  • Coordinate with field teams on inter-island logistics, parts ordering, and execution while navigating Hawaii-specific challenges (weather, utilities, permitting).
  • Support root-cause analysis for recurring issues and contribute to continuous improvement of service processes.

Manage Billing & Financial Coordination

  • Oversee accurate billing for O&M services, including monthly recurring fees, time & materials, and project-based invoices.
  • Collaborate closely with the accounting team to ensure timely and correct invoicing, resolve billing discrepancies, and maintain proper documentation.
  • Monitor accounts receivable for O&M portfolio clients and support collections efforts as needed.
  • Prepare client reports and documentation required for invoicing and MSA compliance.

Support Operational Efficiency & Customer Satisfaction

  • Monitor client feedback and escalate major issues to leadership while driving timely resolutions.
  • Maintain accurate records in CRM/ERP systems and contribute to performance reporting.
  • Assist with MSA administration, including scope reviews, amendments, and renewals.
  • Promote a safety-first and customer-centric approach in all client interactions.

Qualifications

Required

  • 2+ years of experience in project coordination, client management, or operations support in solar, renewable energy, construction, or field service industries.
  • Experience managing client relationships and coordinating service delivery under contracts or MSAs.
  • Strong understanding of billing processes, invoicing, and working with accounting teams.
  • Familiarity with solar O&M concepts, basic electrical systems, or renewable energy service delivery.
  • Excellent organizational and communication skills with the ability to manage multiple clients and priorities.
  • Bachelor’s degree in Business, Project Management, Engineering, or related field (or equivalent experience).
  • Valid driver’s license with a clean driving record.

Preferred

  • Experience in Hawaii’s solar market, utility requirements (HECO, Maui Electric), or inter-island operations.
  • Knowledge of solar equipment (inverters, monitoring systems like SolarEdge, Enphase, etc.).
  • NABCEP certification or related solar training.
  • Proficiency with CRM/ERP systems (Salesforce, NetSuite, Coperniq, or similar).
  • Project management experience or PMP fundamentals.

Driving Requirement:

  • Must possess a valid driver’s license in the state where the work is to be performed.
  • Ability to drive a vehicle during the normal course of business.
  • Must maintain a clean driving record with the ability to pass a driving background check.

Physical Demands and Working Conditions:

  • Able to work upright and stationary and/or standing for working hours.
  • Able to communicate, receive, and understand information and ideas with diverse groups of people in a comprehensible and reasonable method.
  • Able to position and move objects up to 10 pounds.
  • Primarily office-based with occasional field visits or inter-island travel.
